JAPAN – TOKYO, MT. FUJI, OSAKA, NARA & HIROSHIMA

1. Booking & Confirmation

• All bookings are subject to availability at the time of confirmation.
• A booking will be considered confirmed only after receipt of the required booking amount and written confirmation from the travel company.
• Hotel rooms, tours, transfers, train tickets, and other services are subject to availability and may change until confirmed.
• Names and passport details provided at the time of booking must be accurate. Any charges arising from incorrect information will be borne by the passenger.

2. Passport & Visa Requirements

• Passengers must hold a valid passport with sufficient validity as required by Japanese immigration authorities.
• A valid Japan visa, where applicable, must be obtained prior to travel.
• Visa approval is solely at the discretion of the relevant embassy/consulate. The travel company will not be responsible for visa rejection, delay, or related costs unless otherwise agreed in writing.
• Passengers are responsible for carrying all required travel documents, including passports, visas, tickets, insurance documents, and other applicable certificates.

3. Hotels & Accommodation

• Accommodation will be provided at the hotels mentioned in the itinerary or at similar-category hotels, subject to availability.
• Standard check-in and check-out times of the respective hotels will apply.
• Early check-in and late check-out are subject to hotel availability and may incur additional charges.
• Room preferences such as twin/double beds, connecting rooms, higher floors, or specific views are subject to availability and cannot be guaranteed unless confirmed in writing.
• Any hotel deposit, minibar charges, room service, laundry, telephone charges, or other personal expenses are payable directly by the passenger.

4. Transportation & Transfers

• Airport and hotel transfers will be provided as specified in the itinerary.
• Private transfers are applicable only where specifically mentioned.
• Some excursions and sightseeing activities are operated on a shared basis with fixed meeting points.
• For shared tours, passengers are responsible for reaching the designated meeting point on time.
• Transfers marked as “On Your Own” are not included and must be arranged by the passenger.
• Transfer services are subject to vehicle capacity and the baggage allowance specified at the time of booking.
• Delays caused by traffic, weather, road closures, train disruptions, or other circumstances beyond the operator's control may affect the itinerary.

5. Tours & Sightseeing

• Sightseeing will be conducted according to the itinerary and may be operated on a private or shared basis as specified.
• Tour timings, routes, attractions, and meeting points may change due to operational requirements, weather conditions, local events, maintenance, or other circumstances beyond the operator's control.
• Certain attractions may be closed on specific days or during public holidays.
• Mount Fuji visibility is dependent on weather and seasonal conditions and cannot be guaranteed.
• The Hiroshima & Miyajima tour is not operated on Mondays, as specified in the itinerary.
• If an attraction or activity becomes unavailable, the local operator may provide an alternative of similar nature where possible.

6. Meals

• Meals are included only as specifically mentioned in the itinerary.
• Breakfast will be provided according to the hotel's standard breakfast policy.
• Lunch and dinner are not included unless expressly stated.
• Special dietary requirements, allergies, vegetarian meals, or other meal requests should be communicated at the time of booking and are subject to availability.
• Any additional meals or beverages not included in the package will be at the passenger's own expense.

7. Shinkansen / Train Tickets

• Shinkansen travel will be provided in the class specified in the itinerary.
• Train schedules and seat allocations are subject to availability and railway operating conditions.
• Passengers are responsible for reaching the designated railway station on time.
• Missed trains due to late arrival may result in additional charges and/or the need to purchase a new ticket.
• Train tickets are subject to the applicable railway operator's cancellation and amendment conditions.

8. Cancellation & Amendment

• Cancellation charges will depend on the date of cancellation and the cancellation policies of the hotels, tour operators, transportation providers, and other suppliers.
• Certain services, including train tickets, special tours, transfers, and hotel bookings, may be non-refundable once confirmed.
• Any applicable cancellation charges will be communicated at the time of cancellation.
• Amendments to travel dates, hotels, tours, or passenger details are subject to availability and may incur additional charges.
• No refund will be provided for unused services, missed tours, late arrivals, voluntary withdrawal, or early departure unless specifically approved by the respective service provider.

9. Force Majeure

The company and its local partners will not be held responsible for delays, cancellations, losses, or additional expenses caused by circumstances beyond their reasonable control, including but not limited to natural disasters, earthquakes, typhoons, severe weather, pandemics, strikes, government restrictions, transportation disruptions, political disturbances, or other unforeseen events.

10. Travel Insurance

• Comprehensive travel insurance is strongly recommended for all passengers.
• Insurance should ideally cover medical expenses, emergency evacuation, trip cancellation/interruption, baggage loss or delay, and other unforeseen travel-related expenses.
• Passengers are responsible for ensuring that their insurance coverage is adequate for their individual requirements.

11. Personal Expenses

Unless specifically mentioned as included, the following are generally excluded:

• Visa fees
• Travel insurance
• Airfare
• Personal expenses
• Tips and gratuities
• Laundry
• Telephone/internet charges
• Room service and minibar
• Optional activities
• Additional transportation
• Porterage
• Meals and beverages not specified in the itinerary
• Any other expenses of a personal nature

12. Passenger Responsibility

• Passengers are responsible for complying with local laws, immigration requirements, tour instructions, and safety regulations.
• Passengers must arrive at airports, railway stations, meeting points, and tour departure locations on time.
• The company will not be responsible for services missed due to the passenger's late arrival or failure to follow the provided instructions.
• Passengers are responsible for their personal belongings, valuables, travel documents, and baggage throughout the journey.

13. Changes to the Itinerary

The itinerary may be modified due to operational requirements, weather conditions, local circumstances, transportation schedules, attraction closures, or other unforeseen situations. Any changes will be made with the intention of maintaining the overall quality and value of the tour.

14. Refund Policy

• Refunds, where applicable, will be processed after deduction of applicable supplier and cancellation charges.
• Processing time for refunds may vary depending on the supplier and payment method.
• No refund will be made for services voluntarily unused by the passenger.
• Any bank, payment gateway, currency conversion, or transaction charges may be non-refundable.

15. Currency & Price Changes

• Package prices are based on the rates and availability applicable at the time of quotation.
• Prices may change before confirmation due to fluctuations in hotel rates, transportation costs, exchange rates, taxes, fuel surcharges, or supplier pricing.
• Once the booking is confirmed and payment terms are fulfilled, the applicable price will be governed by the confirmed booking terms, except where additional government/supplier charges are imposed.

16. Important Note

This itinerary is based on the services and inclusions specified in the package. Any service not expressly mentioned as included should be considered excluded. The final booking confirmation, supplier terms, and applicable cancellation policies will prevail in case of any discrepancy.
